Project Overview

Context

The order management team is responsible for validating the Checkbox Alert Notification for non-PO Driven customers. All cloud-base orders go on a hold to ensure this validation process. However, in most cases, this step is unnecessary as the platform document typically mirrors the quote/order content. This validation process is time-consuming, averaging 13 minutes per order, and needs optimization.

Objective

Eliminate unnecessary validation for orders under a certain dollar amount and introduce a checklist for sellers to streamline the process, improving efficiency and reducing manual effort.

Problem Statement

The current validation process is inefficient and largely redundant, leading to unnecessary delays and resource waste. A more automated and user-friendly solution is needed to eliminate redundant validations and improve order processing time.

Design Process

Wireframing
  • Designed a checkbox functionality for validation in the platform system.
  • Created mockups for the check box and warning message display.
  • Ensured UI consistency with existing platform interfaces.
Key Design Principles
  • Automation: Reduce manual intervention by allowing sellers to verify directly.
  • Efficiency: Introduce a simple, clear checklist to replace unnecessary holds.
  • User Guidance: Display a warning message to prompt sellers to confirm their validation before submission.

Design Solutions

New FOL Validation Process
  1. Checkbox Implementation:
    • A checkbox will appear in order processing if:
      • Order flag is checked.
      • Quote only contains cloud application parts (no mixed cart).
      • Total Contract Value (TCV) less than a certain amount.
      • Order belongs to certain categories.
  2. Warning Message Display:
    • If the checkbox is selected, a warning message prompts the seller to verify the order before proceeding.
    • Ensures sellers manually confirm accuracy before submission.
  3. Platform Integration:
    • Evaluate whether one platform receives the flag before another.
    • Determine if a warning message translation is required for global consistency.

Key Learnings

  • Selective validation improves efficiency: Focusing validation on high-risk orders eliminates unnecessary work.
  • Warning messages ensure accountability: Sellers remain responsible for verifying order accuracy while benefiting from a faster process.
  • Integration with another platform requires careful planning: Further testing is needed to ensure seamless data flow between systems.
